*Position Summary*

The Supervisor-Staffing Coordinator is responsible for the supervision and oversight of the Staffing Coordinators/Function.

The position ensures compliance with all regulatory and agency standards. The position works in a multi-disciplinary

environment involving RNs, LPNs, Therapists, MSWs, CNAs and Chaplains. This position will also work as an integral

part of the clinical team to assure that correct procedures and documentation are followed to allow for an exceptional

customer/patient experience. Acts as a resource to staff and a representative of the culture, values, and mission of the

organization.

*Minimum Education Requirements*

Associates degree, or equivalent experience and education required. Excellent PR/communication skills; excellent

organizational skills; excellent attention to detail. Advanced knowledge of computers and Windows applications; Advanced

knowledge of medical terminology required with the ability to safely care/staff for the patient/resident population we serve.

*Minimum Experience Requirements*

Two years of scheduling /staffing/customer service/call center experience required. Advanced knowledge of medical

terminology, basic knowledge of medical/staffing records, advanced knowledge of computer systems. Outstanding

customer service and communication skills; demonstrated ability to communicate clinical information and to work

effectively with a diverse group of people. Demonstrated ability to work with the clinical team to improve departmental

efficiencies. Demonstrated ability to work with other departments that directly interface with the scheduling/staffing

department in a collaborative manner. Demonstrated ability to provide guidance and instruction to those who report to this

position. Demonstrated ability to problem solve complex patient/staffing issues and escalate the issue if necessary to

ensure the safety of the patient is maintained at all times. Supervisory experience preferred.

*License/Certifications*

Practical Nurse License (LPN), Physical Therapy Assistant (PTA), or Certified Occupational Therapy Assistant (COTA)

with current licensure or registration preferred.

*Position Duties (Essential Functions)*

Critical Thinking/Problem Solving Ability 40%

Demonstrates ability to prioritize new patient/resident opens/admits and determine when SOC will take place within

regulatory guidelines. Demonstrates application and understanding of general medical terms and conditions and uses

this clinical knowledge along with critical thinking skills to triage patient/resident care needs and effectively coordinate

patient/resident care with the appropriate staff discipline. Demonstrates ability to identify information that is crucial for the

field staff and have the ability to give this information via the telephone. Outstanding organizational skills need to be

demonstrated related to department logs etc. Respects partnerships, competencies, and geography when staffing a case.

Demonstrates ability to interpret referral information in order to prioritize order of discipline evaluation. Appropriately seeks input from clinical resources to analyze complicated cases. Recognizes critical information and facilitates the exchange of information between CMs, Clinical Supervisors/Managers/Director, and other internal departments. Participates in the identification of educational needs for staff, communicates on an ongoing basis with the Clinical team and provides support for educational offerings and annual skills fair as needed.

Customer Service 40%

Provides prompt, efficient and courteous service. Ensures that all patients are staffed in a timely manner to meet agency standards and regulatory requirements. Demonstrates adequate follow up to be sure a resolution was achieved and/or refers them to the appropriate person or department for timely resolution. Demonstrates a willingness to assist in other areas as needed to maintain operational productivity. Demonstrates the ability to work in all areas of the scheduling department.

Stewardship 10%

Ability to follow operational process flow to maintain efficient productivity: Performs other related duties as assigned or

requested, which may include cross training and /or other job functions as temporary workloads and volumes require. Maintains all staffing logs in an organized manner and is able to retrieve any staffing information that is needed in a timely manner. Participates in quality improvement programs including clinical audits as assigned. Participates on committees and work teams as assigned. Maintains time off calendar for staff as it relates to receptionist’s master calendar.

Professional Accountability 10%

Acts as a resource for staff, patients and physicians. Modifies own behavioral style to respond to the needs of others while

maintaining personal objectives and dignity. Participates in the orientation of new associates. Attends formal and/or informal

educational activities and completes annual education record. Demonstrates knowledge regulatory standards. Maintains and

reconciles department logs as needed. Ensures appropriate use of all departmental logs to ensure the most accurate information to minimize diverting patients/residents from our agency.
