Eligibility*

_Position Summary_

Responsible for answering and routing all incoming phone calls. Greets, directs, and assists all telephone and on-site customers. Under supervision performs clerical/administrative functions required in preparation of routine correspondence and simple reports. Maintains multiple office procedures and administrative duties as necessary. Handles incoming and outgoing mail, maintains files and record systems and any other general office duties as it relates to the department business needs. Schedules patients according to procedure.

_Minimum Education Requirements_

  • High School Diploma or GED required.

_Minimum Experience Requirements_

  • 1 year’s office experience, preferably in a medical office setting preferred.

  • Proficient in word-processing including Microsoft Outlook, Microsoft Work and Excel

  • None

_Position Duties ( Essential Functions, Include % of time)_

Clerical Support – 50%

  • Provides clerical support duties: filing, data entry, answering phones, photo-copy, etc.

  • Greets and directs customers/visitors

  • Responsible for ordering departmental supplies, processing requisitions and purchase orders to maintain an adequate level to allow for normal departmental functioning.

  • Assists department leadership with administrative tasks as needed.

  • Takes minutes at specific department meetings upon request.

  • Compiles and runs reports as assigned and required.

  • Operates standard office equipment: computer, copy and fax machine.

  • Operational support and cross training

  • Treats all individuals with respect and is honest in dealing with conflict resolution initiatives when needed.

  • Provides effective verbal and written communication to both internal and external customers.

Critical Thinking Skills – 30%

  • Works with staff and other departments in coordinating effective communication activities.

  • Demonstrates appropriate confidentiality when communicating.

  • Prioritizes department tasks and projects to ensure they are completed in the required time frame.

Organizational Skills – 10%

  • Demonstrates ability to organized work in order to complete required duties.

  • May be cross-trained for other job functions as temporary workloads and volumes require.

  • Maintains a high degree of confidentiality.

Stewardship – 10%

  • Manages time and supplies efficiently.

  • Manager the Petty Cash accounts as assigned.

_Physical Requirements_

  • Sedentary work - (prolonged periods of sitting and exert up to 10lbs force occasionally)
